Events Coordinator

Job Summary:

The Events Coordinator at Regenesys will be responsible for planning, coordinating, and executing a variety of corporate and community events. This role ensures seamless event logistics, manages vendors, and collaborates with internal teams to deliver memorable and impactful events that align with the company’s objectives and brand image.

Position in Organisation:
Reports to: Marketing Manager

Responsible for:
• Coordinating all logistical aspects of events, from concept to completion.
• Main Relationships: Liaises with internal teams (marketing, sales, and management) and external vendors (caterers, venues, entertainment, etc.).

Duties and Key Responsibilities:
• Plan, coordinate, and execute company events such as conferences, workshops, trade shows, and corporate celebrations.
• Source and manage vendors, including negotiating contracts, ensuring cost-effectiveness, and monitoring quality of service.
• Develop detailed event plans, including budgets, timelines, and staff requirements, to ensure smooth event execution.
• Oversee event setup, on-site management, and teardown while ensuring high-quality delivery and adherence to brand standards.
• Coordinate all logistical aspects of events, including venue selection, catering, entertainment, AV requirements, and transportation.
• Liaise with internal stakeholders to align events with business goals and marketing strategies.
• Manage guest lists, invitations, and RSVPs, ensuring positive experiences for all attendees.
• Track event KPIs, gather attendee feedback, and produce post-event reports to assess success and identify improvement areas.
• Stay updated on industry trends and best practices to continuously improve event planning and execution.

Qualifications and Experience:
• A bachelor’s degree in event management, marketing, or a related field.
• 3-5 years of experience in event planning or coordination, preferably in a corporate setting.
• Strong organisational and multitasking skills, with attention to detail.
• Excellent communication and negotiation skills, capable of managing vendor relationships and internal communications.
• Proven ability to manage multiple projects simultaneously and meet deadlines.
• Familiarity with event management software and tools is an advantage.
